Dealing sensitively with customer data is of greatest importance for Signmax (“Signmax”, “we”, “us”). Thus, personal data is collected, stored and used in accordance with the data protection regulations, particularly the Austrian Data Protection Act in its current version (“DSG”) and the EU General Data Protection Regulation (“GDPR”) for fulfilling contractual obligations. Any use over and above this, which is not justified on the basis of overriding legitimate interests in accordance with the applicable Data Protection Act, is permissible only after your consent following prior information. You can revoke your consent at any time (e.g. via an e-mail to stamps@signmax.co.za). This does, however, not affect the right to data processing for the performance of a contract. Managing Your Information Preferences

3. Which of your data does Signmax process?

Contact and enquiry data: When you actively establish contact with us (e.g. via e-mail or via our contact form), the data and details (name, address, company name, question, telephone number, e-mail and content of the enquiry) are processed.

Registration data: If you register for seminars, workshops or demo shop, we record the registration data provided (name, company name, address, e-mail, telephone, booked events). If you create layouts for stamp using personal data, they will be stored as well.

Location data: If you are searching for a Signmax location near you, we process the location (address) specified by you for displaying the hits. We delete this information after your visit to the website.

Technical data: We record the IP address of your device, the Internet browser used and your OS, your clicking behaviour on the website and the website from which you visit us. This personal data can also be collected by using cookies (see below).

4. For which purposes does Signmax process your personal data?

Signmax collects, stores and uses your personal data, (i) to allow you to access special information, (ii) to contact you within the scope of the business relationship (iii) to improve the services provided by Signmax and the website in accordance with Art 6 Para 1 lit b GDPR.

Contact you for advertising purposes, for

– sending marketing and product information in relation to goods and services from the (new) product range of Signmax (via e-mail, text message, fax, social media messenger services)
satisfaction surveys regarding service and advisory

– requirements analyses

– event invitations, training opportunities, vouchers and discount campaigns

– reminders, if you have added products or services to the shopping basket, but have not completed the buying process

– in relation to regional customs and traditions, such as sending Christmas or greeting cards

is done only after obtaining your consent in accordance with Art 6 Para 1 lit a GDPR. Within the scope of the consent for receipt of the newsletter, you also consent to your data being sent within the Group to affiliated companies of Signmax so that they can also contact you, to the extent of your consent.

You may revoke this consent at any time for individual or all purposes by contacting Signmax.

Insofar as it is necessary for contract fulfilment, your personal data will be disclosed to companies of Lasercor 3 (Pty)Ltd or their sales and service partners in the countries relevant to you so that they can take action on behalf of Trodat. We will therefore send your data to third parties only for the fulfilment of our obligations.

5. How long does Signmax store your personal data?

Your personal data will be stored by us for as long as required to fulfil our obligations towards users. However, due to our retention obligations, we store your personal data in relation to orders and bookings for three or a maximum of seven years after contract fulfilment. If you have registered to receive newsletters or be contacted for marketing purposes and are not one of our customers, we store your data until you revoke your consent and for a maximum of three years after your last contact.

6. Cookies and Google Analytics

Like most websites, we use cookies. Cookies are small text files which a website or your service provider places on the hard disk of your device via the web browser so that the website can be more conveniently designed and your user behaviour on the website can be understood better.

The IP addresses are anonymised in advance and a personal reference cannot be established with the collection of data.

9. How does Signmax protect your data?

We take appropriate technical and organisational security measures within the scope of Art. 5 Para 1 lit f or Art. 32 GDPR to protect your personal data from unintentional or unlawful deletion, modification, damage or loss as well as against unauthorised disclosure or unauthorised access. Furthermore, we and our employees undertake to comply with data secrecy. However, no data transmission over the Internet or other network can be guaranteed to be 100% secure. As a result, while we strive to protect information transmitted on or through the website, we cannot and do not guarantee the security of any information you transmit on or through the website, and you do so at your own risk.

Our website may contain links to other websites or allow others to send you such links. A link to a third party’s website does not mean that we endorse it or that we are affiliated with it. We do not exercise control over third-party websites. You access such third-party websites or content at your own risk. You have a right to access personal data that we process (Art. 15 GDPR). In addition, you have the right of rectification of inaccurate data and erasure in accordance with Art. 16 and 17 GDPR). Furthermore, you have a right to restriction of the processing (Art. 18 GDPR) and the right to data portability (Art. 20 GDPR). Furthermore, you may revoke your consent to processing of personal data for the future if the processing is based on your consent. If you no longer want to receive our newsletter or our advertising e-mails, please click on the “unsubscribe” link, which is contained in all of the e-mails sent by Trodat. In addition to this, it is also possible to revoke by calling or e-mail.

You have the right to lodge a complaint with the Austrian Data Protection Authority (Wickenburggasse 8, 1080 Vienna).

Your Right to Object

As a data subject, you can object to the use of your data at any time if the processing has the purpose of direct marketing.

Insofar as we process data for legitimate interests of Signmax or a third party, you additionally have the right to object at any time if reasons arise for this from your specific situation.

Children’s Rights

The website is intended for users who are 13 years old or older. We do not knowingly collect Personal Information from children under the age of 13. If we become aware that we have inadvertently received personal data from a child under the age of 13, we will delete such information from our records. California users under the age of 18 may request the removal of their content or information publically posted on the website by e-mailing us at stamps@signmax.co.za. Please note that most of the user content that appears on our website is stored and controlled by third party providers; thus, complete and comprehensive removal of the content may not be possible.
